A focused CRM for following up on time
Apparus CRM does a few things well: it keeps your leads organized, shows you which ones need attention, and helps you take the next step without letting anything slip.
Leads & contacts
Every opportunity in one organized place
Track each lead from first inquiry to won or lost, linked to the person or company behind it. Notes and a timeline of changes keep the whole story in one record.
- Leads with a stage, status, priority, source, estimated value, and an assigned teammate.
- Contacts with company, role, email, phone, and website.
- Notes and an activity timeline on every lead and contact.
- Filter, sort, and archive records instead of deleting them.

Know who to contact today
Your overview puts overdue follow-ups and today's tasks first, followed by what's coming up this week, so the most time-sensitive leads never get buried.
- Overdue tasks and tasks due today, front and center.
- Upcoming follow-ups for the next week.
- Sort leads by their next follow-up date to spot leads without one.
- “Today” follows your own time zone.
- Follow-up overdue
- Task due today
- No follow-up set
- Due tomorrow
Follow-up tasks
Reminders that don't depend on memory
Give every lead a next step with a due date. Tasks can be linked to a lead or contact and assigned to anyone in your workspace.
- Due dates, priorities, and assignees.
- Overdue tasks are flagged automatically.
- Complete, reopen, or cancel tasks; finished work stays in the timeline.
- Suggested task titles from your industry template.
- Overdue
- Today
- Friday
- Done
Configurable pipelines
Stages that match how you actually work
Use the stages from your template or define your own. Each stage counts as open, won, or lost, so your reports stay meaningful as you customize.
- Name, color, and reorder stages.
- Run more than one pipeline and choose a default.
- See every open lead by stage on a board.

A sensible starting point for your kind of business

AI-assisted drafts
A head start, never an autopilot
Ask the assistant for help on a specific lead. It drafts; you decide. Apparus never sends anything on your behalf.
- Lead summaries, suggested next steps, conversation prep, and follow-up drafts.
- Every result is a draft for you to review, edit, copy, or discard.
- Only the record details needed for a request are sent to the AI provider, and contact email addresses and phone numbers are left out.
- Monthly AI request limits per plan, and workspace owners can turn AI off.
Team & privacy
Share the work, keep the data private
Invite teammates into your workspace and give each person a role. Records are shared inside the workspace and isolated from everyone else.
- Owner, admin, and member roles with clear permissions.
- Each workspace's records are isolated by rules in the database itself.
- Every change is checked on the server against your session and role.

What Apparus CRM doesn't do
We'd rather be clear up front than surprise you later. This version does not include:
- Sending email or SMS. AI writes drafts; you send messages yourself.
- Email inbox, calendar, or phone system sync.
- Third-party integrations or a public API.
- MLS access, listing sync, e-signatures, or real estate transaction management.
- Scheduling, invoicing, or payments for your customers.
Roadmap vision
Part of a connected Apparus platform, over time
Apparus is the parent brand, and the CRM is its first product. Over time we hope to add connected tools for running a small business, such as scheduling, estimates and invoicing, and customer communication, that share the same customer records.
None of these modules are available today, and we haven't committed to dates.
